Managed Outbound: Pricing and How It Works (2026)

Managed outbound means someone else runs your outbound for you. A provider works out who to call and why, its callers pick up the phone, and meetings land in your calendar. This guide covers how that works in practice, what it costs, when it is the wrong call, and what to check before you sign.

In 30 seconds

What it is: a provider finds who to call and why, its callers run the calls, and qualified meetings land in your calendar.

What it costs: in the French market for outsourced B2B prospecting, €750 to €8,000 a month on a retainer, or €200 to €350 per qualified meeting. Trefle charges €790/month excl. VAT + €340 excl. VAT per qualified meeting held, with a 2 month minimum.

Who it fits: B2B companies that want meetings without running the prospecting, because they have no one to make the calls or their salespeople have no time for it.

A word on these ranges. They are French market figures, taken from published prices and public comparisons in June 2026. They cover outsourced B2B prospecting as a whole, so not every provider in them makes phone calls. If you buy in another country, the three models still hold, but get local quotes rather than converting these numbers. The detail, in French, is in our B2B lead generation pricing guide.

What is managed outbound?

"Managed" is the operative word. You are not buying a tool or a list, you are buying conversations with the right decision makers that turn into meetings. Three jobs move to the provider:

  • Who to call and why: the companies, the people, and the reason to reach out now.
  • The calls: callers pick up the phone, follow up and qualify.
  • The meetings: they land in your calendar, and you take them.

The selling stays with you. You will also see this sold as outsourced SDR, appointment setting or a prospecting agency, so look at what actually gets done for you: the targeting, the calls, or only the sending of sequences.

How it works, step by step

Here is how Trefle does it. Trefle is an AI-native, call-first GTM partner for B2B companies in services, tech and SaaS, and AI agents, and the method comes down to one idea: every call goes out with a good reason to call.

1. Agree the target and the script

Who buys, which decision maker to reach, what to say. This is also when you agree what counts as a qualified meeting.

2. Pull the leads together and prioritise

Three sources feed one call list: your hot leads (sequences, ads, website), your open deals in the CRM, and new leads on your market, found through signals and lookalikes. Every day, the hottest leads of the moment go first.

3. Prepare each call

A good reason to call is a recent, verifiable fact that makes the call relevant today: a demo request, a stalled deal, a new hire, a deadline. It is not confirmed buying intent, it is what makes people listen. Each call comes with that reason, the right decision maker, their number and a personalised opener. AI agents research, enrich and prepare. Humans decide and call.

4. Make the calls

Experienced human B2B callers do the calling. It is phone only at the start, with no email or LinkedIn, because the phone is the shortest path to a real conversation.

5. Put the meetings in your calendar

The meeting goes straight into your calendar. First meetings come within 4 weeks.

6. Learn from every call

Outcomes, notes and callbacks flow back in, and targeting and script get sharper as the calls add up.

What does managed outbound cost?

Providers charge in one of three ways, and each one puts the risk in a different place.

Monthly retainer

A fixed fee, from €750 to €8,000 a month in the French market depending on scope, with an average between €1,500 and €2,500. Your costs are predictable, but you also pay for the slow months unless the contract commits the provider to a result.

Pay per meeting

You pay only for qualified meetings delivered, €200 to €350 per meeting in the same market. Everything then hangs on how "qualified" is defined, and this model can reward quantity over quality.

Hybrid

A monthly fee plus a price per meeting. There is no single range here, so add both lines up and compare total cost, not the monthly fee alone.

What Trefle charges

Trefle publishes its price, and it is a hybrid: €790/month excl. VAT + €340 excl. VAT per qualified meeting held, 2 month minimum, first meetings within 4 weeks, phone only at the start. You pay the variable fee only on meetings that meet the agreed criteria and actually take place.

Managed outbound vs an in-house SDR vs software

  • Managed outbound: you delegate and start quickly, with no hiring or managing. The trade-off is that someone else speaks for you, so you have to hand over your offer and keep an eye on the message.
  • In-house SDR: you control the message and the know-how stays with you, for as long as the person stays. The trade-off is hiring, training, managing, equipping and waiting while they ramp up.
  • Software: Apollo, Sales Navigator and Clay give you data to work with, but they do not pick up the phone. Targeting, preparation and calls stay on you. A good fit if you already have people to make the calls.

When managed outbound is the wrong choice

  • Your offer is not clear yet. If you do not know who you sell to or why they buy, callers will not work it out for you.
  • Your deal size does not cover the cost. If a signed contract does not comfortably pay for the meetings it took to win it, the numbers will not work.
  • No one can take the meetings. Without proper sales follow-up, it is money down the drain.
  • You need results this week. Allow a few weeks to set up and get going.
  • You want to build your own machine. Hire, or look at an engine installed in your company such as Trefle's GTM System.
  • You need every channel from day one. Trefle's Managed Outbound starts on the phone only. If your market does not pick up, this is not the right offer.

How to judge a provider: a checklist

  • The reason to call. Ask for examples on your market: a dated, verifiable reason, or just a database filter?
  • Who makes the calls. People or automation? How much B2B experience do they have?
  • The qualified meeting. Is the definition in the contract? What do you pay if the prospect does not show up?
  • Total cost. Setup, data, tools, minimum term: included or on top?
  • Visibility. Can you see the calls, notes and outcomes? Who keeps the data when the contract ends?
  • Proof before you sign. Can the provider show its work on your market before you commit?

On that last point, Trefle gives you 10 targeted calls, free: 10 prospects to call on your market, with the reason, the decision maker, their number and what to say, by email within one business day. Rather talk first? Book a call.

Frequently asked questions

What is managed outbound?

Managed outbound means handing outbound prospecting to a provider. The provider works out who to call and why, its callers make the calls, and qualified meetings land in your calendar. You keep the selling, the provider starts the conversation.

How much does managed outbound cost in 2026?

The published figures we have are for the French market for outsourced B2B prospecting: monthly fees from about €750 to €8,000, with an average between €1,500 and €2,500, and pay-per-meeting pricing from €200 to €350 per qualified meeting (published prices and public comparisons, June 2026). Trefle.ai publishes its price: €790/month excl. VAT + €340 excl. VAT per qualified meeting held, 2 month minimum.

Who offers managed outbound?

Prospecting agencies, appointment-setting firms, outsourced SDR providers and GTM partners. They differ on channel, targeting and how open they are about price. Trefle.ai is an AI-native, call-first GTM partner for B2B companies (services, tech and SaaS, AI agents): its callers call for you, phone only at the start, and its price is public.

How long until the first meetings?

Allow about 4 weeks from kick-off to the first qualified meetings: time to agree the targeting and the script, then start calling. With Trefle.ai, first meetings come within 4 weeks.

Should I use managed outbound or hire an SDR?

Managed outbound starts faster and spares you the hiring, training and management. An in-house SDR keeps the know-how in your company, but needs time to ramp up and someone to manage them. Delegate to test a market or build pipeline without a dedicated team, and hire once the volume justifies a full-time team.

Can I try it before committing?

Yes. Trefle.ai gives you 10 targeted calls for free: 10 companies on your market, the reason to call them now, the decision maker, their number and what to say. You get them by email within one business day, no credit card, then we talk them through on a 20 minute call. Managed Outbound itself has a 2 month minimum.
